Gmail Mail Merge Warmup: Get Your Inbox Ready to Send

Gmail's built-in mail merge makes bulk sending simple. You write one email, link a spreadsheet, and every person gets their own personalized copy. What it doesn't do is tell you whether your inbox is ready to send that many. That's what Gmail mail merge warmup is for.
If you send from a Google Workspace address like you@yourcompany.com, here's what Gmail's limits mean for a new or quiet inbox, and how Warmuply runs alongside Gmail so you know how many to send each day.
Why does Gmail mail merge need warmup?
Because Gmail's limit tells you what you're allowed to send, not what will reach the inbox. A new inbox, or one that rarely sends, has no history behind it. When it suddenly sends hundreds of near-identical emails, Gmail and Outlook have little reason to trust it.
Google's sender guidelines say to start low, increase slowly and avoid sudden spikes; even doubling your usual volume overnight can cause rate limits or a drop in reputation. Sender reputation is the trust mailbox providers place in your address and domain, and it affects every email your business sends.
Email warmup builds that history gradually. It's the step between "Gmail allows it" and "Gmail trusts it."
What are Gmail's mail merge limits?
Gmail caps mail merge at 1,500 recipients a day, inside a 2,000-email daily total for most paid accounts.

Three details catch people out:
- Your regular email counts too. Once your combined total for the day reaches 1,500, Gmail stops mail merge sends until the quota resets. The last 500 are kept for everyday email.
- Days are rolling. Daily limits apply over a rolling 24-hour period, not from midnight.
- Cc and Bcc multiply. A Cc or Bcc address gets a copy of every email in the merge, and each copy counts toward your limit.

How Gmail mail merge warmup works with Warmuply

- Connect the address you'll send from. Sign in with Google; it takes about a minute. Gmail won't send a mail merge from a secondary domain or a domain alias, so warm up the exact address that will appear in the From line.
- Let warmup run. Warmuply exchanges everyday-looking emails with our network of inboxes, a little more each day. Your contacts never see them.
- Fix your domain settings. We check SPF, DKIM and DMARC, three DNS records (settings on your domain) that prove your email really comes from you. If something's wrong, we explain it in plain English and give you the exact text to paste.
- Check your safe-send number. Each day, Warmuply shows how many emails your inbox can safely send today. It grows as your inbox warms. Most inboxes need around 4–12 weeks before sending at full volume.
- Send your mail merge in Gmail as usual, keeping the day's total at or below that number.
Placement tests show whether your email reaches the inbox, Promotions or spam at Gmail, Outlook and Yahoo. If your domain lands on a blacklist (a list of senders flagged for spam), you'll know the same day.

How to split a Gmail mail merge into daily batches
Gmail's mail merge doesn't work with schedule send, so split your list by hand:
- Check today's safe-send number. Say it's 80, and you're emailing 300 customers.
- Copy the first 80 rows into their own Google Sheet. Gmail reads recipients from the first tab only, and the cells must contain text only.
- Send from Gmail. Compose, click Use mail merge next to the "To" line, turn on Mail Merge, then Add from a spreadsheet and pick that sheet.
- Mark those rows as sent in your main list. Tomorrow, repeat with the new number, leaving room for your regular email.

What warmup can't fix
Warmup builds trust in your inbox. It can't make people want an email they didn't expect.
The rest is on the sending side:
- Who you email. Send to people who know you or would reasonably welcome your email. Google's guidelines say not to buy lists or email people who didn't sign up to hear from you.
- Spam reports. Google asks senders to keep their spam rate in Postmaster Tools (Google's free dashboard for senders) below 0.1%, and never reach 0.3%. On a small send, a few "Report spam" clicks can push you past that.
- What the email says. Write like a one-to-one email, keep to one or two links, and share a Google Drive link instead of attaching files. Gmail adds an unsubscribe link to each mail merge email automatically; leave it there, and stop emailing anyone who asks.

- Everyone on the list knows you or would reasonably expect to hear from you.
- You've sent a test to yourself and every merge tag fills in.

Frequently asked questions
Workspace free trial accounts can send 500 messages a day, and Google doesn’t raise that during the trial. After you switch to a paid plan, limits go up once your domain has paid at least $100 in total, which can take up to 75 days. Plan smaller sends until then.
No. Warmup emails are exchanged with our network of inboxes, not your contacts, and they’re filed away so they don’t clutter your inbox. Your mail merge list is never used for warmup, and nothing changes in how you send from Gmail.
Yes. Keep each day’s total, including your regular email, at or below your safe-send number. The number goes up as your inbox warms, so a large list can go out in smaller daily batches while warmup runs.
We recommend leaving it on. An inbox that goes quiet and then sends in bulk again can lose the trust it built, so steady background activity keeps you ready for the next send.
Not quite. Gmail emails you whenever someone unsubscribes, but you can’t download a full list. People who unsubscribe can still get emails you send without mail merge, or from other addresses on your domain, so keep your own record and stop emailing anyone who asks.
No. Gmail’s built-in mail merge is only available on eligible Google Workspace plans, such as Business Standard. Warmuply works with Google Workspace addresses on your own domain, like you@yourcompany.com.
