Mail Merge for Recruiters: Reach Candidates, Not Spam

Recruiters email candidates all day. A mail merge for recruiters just does it at scale: one template, a spreadsheet of candidates, and a personal-looking email to each of them. The catch is that a bulk send from your own Google Workspace address can land in spam, and then the right candidate never sees the role.

Why does a mail merge for recruiters land in spam?

Most recruiting emails land in spam because the inbox sends far more than it has before, or because candidates mark the email as spam. Gmail and Outlook judge your sender reputation: how much they trust your address and your domain (the yourcompany.com part) based on your sending history.

The usual causes for recruiters:

  • A sudden jump in volume. An inbox that sends 20 emails a day and then sends 400 looks like a hacked account.
  • Candidates who didn’t expect the email. Each “Report spam” click lowers your reputation, and it affects every email your company sends.
  • Missing domain settings. SPF and DKIM prove an email really came from your domain; DMARC tells inboxes what to do when that check fails.
  • Job specs sent as attachments, many links, or the same template sent to everyone with only the name changed.

Who should you include in a recruiting mail merge?

Email people who know you or would reasonably welcome a relevant role. Good lists include candidates who applied before, people in your talent pool who agreed to hear about roles, past placements, and referrals who said yes to an introduction.

A passive candidate can welcome a role that truly fits them. Keep those sends small and specific. Never use bought or scraped lists: they bring bounces, complaints and spam traps.

What warmup can and can’t fix. Warmup builds trust in your inbox. It can’t make a candidate want an email they didn’t expect. Your list and your message are still up to you.

How many candidates can you email in a day?

Google Workspace allows up to 2,000 emails a day per user, but a new or quiet inbox gets flagged long before that. Here are Google’s limits as of October 2026:

Those are ceilings, not targets. Google’s own guidance is to start low with people who engage, raise volume gradually, and avoid sudden spikes. Say you have 300 candidates for a new role: split them over several days in batches your inbox can handle, rather than sending all 300 at once.

How do you write a recruiting email candidates want to read?

Write it like a one-to-one email, because to the candidate it is one.

  • Personalize beyond the first name. Add a merge field for the role, their current title, or why they fit.
  • Link the job spec instead of attaching it. Upload it to Google Drive and share a link. Keep links to one or two.
  • Keep the subject plain and accurate. No fake “Re:”, no ALL CAPS. In Gmail’s built-in mail merge, merge tags don’t work in subject lines, so keep subjects general.
  • Make saying no easy. Gmail’s built-in mail merge adds an unsubscribe link automatically. With other tools, add a line such as “Reply ‘not interested’ and I won’t email you again,” and honor it.

Your main address is the one candidates know and reply to, which helps. The risk is that complaints from a bulk send hurt the reputation of every email your company sends. Whichever address you use, keep the list to people likely to welcome the email and stay within your inbox’s safe-send number.
