Gmail Mail Merge Option Missing? Which Plans Have It

Gmail mail merge option missing from your compose window? The cause is almost always one of a handful of things, and most take a minute or two to check.
This quick fix is for anyone sending from a work address on Google Workspace, Google's paid business email and apps. You'll see which plans include mail merge, why the icon disappears, and what your admin can switch on.
Which Google Workspace plans have mail merge?
Gmail's built-in mail merge comes with Google Workspace Business Standard, Business Plus, Enterprise Standard, Enterprise Plus, Education Standard, Education Plus and Workspace Individual. Business Starter doesn't include it, and neither does a free personal @gmail.com account.
Some plans also limit who you can mail merge to until an admin changes a setting:

Mail merge replaced an older Gmail feature called "multi-send", so older guides and some admin screens may still use that name.
Why is the Gmail mail merge option missing?
Where to look
First, check you're looking in the right place. In a new message, the mail merge icon sits on the right of the "To" line. If it still isn't there, work through these causes in order:
- Your plan doesn't include it. Business Starter and free @gmail.com accounts don't get mail merge.
- You're replying or forwarding. Mail merge can't be used on replies or forwards. It also doesn't work with scheduled sending or confidential mode. Start a brand-new message with Compose.
- You're in plain text mode. Mail merge needs Gmail's normal rich text formatting. Turn plain text mode off in the compose window and the option should come back.
- You're sending from another domain. Gmail can't mail merge from a different domain, including a second domain or domain alias your company owns. Switch the "From" address back to your main work address.
- You're on your phone. Google's mail merge steps are for Gmail on a computer. Open Gmail in a web browser on a computer and try again.
- Your admin has turned it off. Mail merge is on by default for eligible plans, but your admin can turn it off for everyone or for some teams. If none of the above applies, ask them to check the setting below.
Find the cause
How to check which Google Workspace plan you have
In the Google Admin console (the settings area your Workspace admin uses), go to Billing > Manage subscriptions to see your current plan.
Only an admin can open that page. If you set up your company's Workspace account yourself, you're probably the admin. If not, ask the person who manages your company email which plan you're on.
How to turn on mail merge in the Admin console
If you're on an eligible plan and you're the admin:
- Sign in to the Google Admin console with an admin account.
- Go to Menu > Apps > Google Workspace > Gmail > User settings.
- To apply the change to everyone, leave the top organizational unit selected. An organizational unit is a group of users that can have its own settings, so you can also pick just one team.
- Find Mail merge and turn it on.
- To mail merge people outside your company, also check Allow for external recipients. This is off by default on Enterprise and Education plans.
- Click Save Changes.
Google says settings can take up to 24 hours to update, so if the icon doesn't appear straight away, try again later.
On Business Starter or a free Gmail account? Your options
Upgrade your Workspace plan. An admin can go to Billing > Buy or upgrade in the Admin console, then click Upgrade or Switch next to the plan they want. Google says switching doesn't affect your data, and changes can take up to 24 hours but usually happen sooner.
Use a mail merge add-on. Tools such as YAMM (Yet Another Mail Merge) and GMass run mail merges from your Gmail account. Each has its own plans and daily limits, so check those on the tool's own site before you choose.

Found it? Check this before your first mail merge
Once the option appears, know these before you send:
- Daily limits. You can mail merge up to 1,500 recipients a day. Once your regular and mail merge emails reach 1,500 in a day, mail merge stops until your quota resets; the last 500 of your 2,000 daily emails are kept for regular email.
- Unsubscribe links. Gmail adds a unique unsubscribe link to the bottom of every mail merge email, and people who unsubscribe are skipped on your future mail merges.
- Limits aren't a safe sending volume. The daily limit is the most Google will let you send. It isn't how many emails a new or quiet inbox can send without landing in spam.

- The mail merge icon shows on the right of the "To" line in a new message, in Gmail on a computer.
- Your domain settings are in place: SPF, DKIM and DMARC are the records that prove your email really comes from you. Check them with our free domain checker.
- Everyone on your list expects to hear from you, and your email reads like a one-to-one message with one or two links at most.
- You're sending no more than your inbox can handle today, not just what Google's limit allows.

Frequently asked questions
There’s nothing extra to buy. Mail merge is built into Gmail on the eligible Google Workspace plans, so you get it as part of what you already pay for. A free personal @gmail.com account doesn’t include it.
No. Google says merge tags can’t go in subject lines, in linked text, or in emails written in plain text mode. Put personal details in the body of the email instead, where tags such as @firstname work.
You can add one address in Cc or Bcc, and it gets a copy of every email sent, which counts toward your daily limit. If you added recipients from a spreadsheet, you can’t use Cc or Bcc at all.
Each person gets their own copy of the email and can’t see who else received it. Their replies arrive in your inbox as separate conversations, one per person, so you can answer each one on its own.
No. Gmail emails you each time someone unsubscribes or resubscribes, and after you send, it shows how many recipients were skipped because they unsubscribed. Google doesn’t give you a full list, so keep your own notes and remove those people from your spreadsheet.
